Deactivate and Reactivate Child Profiles
Overview
When a child leaves your service, you can deactivate their profile which keeps their records in your system in case their either return, or you need to produce historical records that you are required by law to keep. In the event that a child later returns to care, you can reactivate their profile again.
There are three different methods to deactivate and reactivate child profiles.
Deactivating Children
- After Deactivating a child, you may also need to cease their enrolment to CCS
- Deactivating a child will remove automatically generated attendances in the future
- Deactivating a child will not delete any past attendances
- Future absences or casual bookings will need to be manually deleted from the Attendances report
- Deactivating a child will not deactivate Parent Profiles or Family Account
There are three ways to deactivate a child:
From the child's profile (Instant)
- Go to the child's profile
- Click the Deactivate button (top right corner)
From the View all Children page (Instant)

- Find the name of the child in the list
- Click the red button in the Action column
From theĀ Room/Current Days tab in the child's profile (Future)
- Open theĀ child's profile
- Go to the Room/Current Days tabĀ
- Enter the Child's Finish Date (must be a future date)
Bulk Apply Child Finish Date
š» Children > Manage Children
For cases where all children finish on the same date (e.g. end of term/end of year), you can select multiple children and apply a Finish Date as a bulk action.
- Use the checkbox in the far right column to select each child (or bulk select using the checkbox at the top)
- Scroll down and open the Action menu
- Click Bulk Apply Finish Date
- Enter a Finish Date using the date picker
- Click Apply Finish Date
The selected children will get a red tag under their name with their finishing date.
Removing Finish Date
- Select the children with a finish date tag
- Scroll down and open the Action menu
- Click Bulk Apply Finish Date
- Leave the date field blank
- Click Apply Finish Date
The finishing date tag will be removed from the child's name in the list.
Reactivating Children

- Change the filter to All Previous Children
- Find the name of the child in the list
- Click the Green Re-Activate button in the Action column
From the Room/Current Days tab in the child's profile (Future)
- Open the child's profile
- Go to the Room/Current Days tab
- Enter the Child's Active From Date (must be a future date)
- Then click Reactivate Child (this will change their status to Starting Soon)
Restoring Deleted Attendances
- When the child's profile is deactivated, it will also delete any future attendances.
- You may need to restore these manually or by entering a new booking pattern
