Booking Pattern - Update Room & Permanent Days

Overview

OWNA operates based on a two-week alternating booking pattern: a Prime week and an Alternate (alt) week. On the Weekly Attendance page, these are referred to as Cycle #1 and Cycle #2.

Add / Update Booking Pattern

  1. Go to the child's profile in the Admin Portal
    • Profile Search or;
    • Children > Manage Children and click on the child's name
  2. Click on the Room/Current Day(s) Enrolled tab
  3. Click on Update Room / Permanent Days >>
  4. Select the Room (top row)
  5. Select Fee Matrix
  6. Select Day(s) attending
  7. Start Date of booking pattern (defaults to next day)
  8. Finish Date of booking pattern
  9. Click Update Room/Day Change(s)

đź’ˇThings to consider

  • The Start Date for a booking pattern can be changed to the current day - this will override any current sign-in information if they are already attending.
  • The Finish Date for a pattern does not cease their enrolment - only this particular booking pattern, which will often result in the system reverting to an older pattern.
  • Use a casual booking pattern (no days selected) to stop additional regular bookings after a specific date or enter a date in the Child's Finish Date field in the Room/Current Day(s) tab.
  • If the child has an Active From date set in their profile, you can start the booking pattern from today (for updating CCS submission) without generating attendances.
  • If you select days in the Prime week and leave the Alt week blank, the system will automatically enter the Alt week to match the Prime week (this does not work the other way around).
  • Once the booking pattern is active in the system, you will need to ensure you are updating the changes to CCS.

Starting and Ending Booking Patterns

  • If you have a current booking pattern without an end date, you can end it by overriding it and starting a new pattern. However, you cannot add an end date to (or edit) a pattern that has already started.
  • If your booking pattern has an end date, but you haven't started a new booking pattern to start right away, the system will default to using the last pattern without an end date.
  • If you want to have a period of no attendance, it's recommended that you add a 'casual' booking pattern (no day is selected) for that period (see Scenario 2 below).

Booking Pattern Scenarios

1. A child attends different days on alternating weeks

You can use a standard pattern for this scenario. E.g. Week 1: Mon, Wed, Fri; Week 2: Tue,Thu.

2. A child does not attend regular days (Casual Booking Pattern)

You can use a standard pattern with no days selected for this scenario.

3. A child attends Alt weeks only

You can use a standard pattern for this scenario by only selecting 'Alt' days.

4. A child attends Prime weeks only

Use an Advanced Booking Pattern to only select days in the Prime Week.

5. A child attends two sessions on the same day (e.g. BASC)

You can use a standard pattern for this scenario by selecting a different room and session times for the section session.

6. A child attends different rooms or has different fees on different days

Use an Advanced Booking Pattern to select a specific room and fee for each day.
