CCS - Final Checks
Overview
Shortly after the end of the financial year, CCS lock all attendances prior to July 1st. After this period is locked, attendances for that period can only be altered by applying to have this period unlocked.
How to Check/Submit Attendances
The best place to check if attendances have been submitted for each child is to run the Weekly Attendance Fee report, to go back week by week and submitting attendances that have a red 'x' next to them.
How to Edit & Update Attendances
💻 Attendances > Daily Attendances
💻 Attendances > Weekly Attendances
Attendances from more than 4 weeks ago need to be unlocked in OWNA, which is tracked by an audit log.
Changing the Session of Care and/or Fee
- Go to Configure > Rooms > Room Details
- Ensure there is a Session of Care/Fee combination with the correct rate - you may need to create a new rate to match previous fees
- Edit the Attendances and apply the new Session of Care/Fee
- Update the Attendance to CCS
Marking or Reverting Absences
You can mark a child as not attending from the Daily or Weekly Attendance reports.
- Edit the attendance to add or update the Absent Reason, or indicate that a medical certificate was provided
- Edit the attendance and Revert all Changes if the child actually attended (add a sign in/out time)
Updating Existing Sessions To CCS
If attendances have already been submitted, but the Session of Care/Fee/Attendance Status is incorrect. You will need to first update the attendances in OWNA, then Update them to CCS (CCSS > Sessions Report). You can replace the existing session using the Update function without having to withdraw the sessions first.
