Mark Individual Child Absent (with a Reason)
Medical certificate provided by family/or other reasons as per list of official reasons
Overview
For CCS, you may need to provide a reason why a child was absent and provide documentation such as a Doctors certificate or Legal document relating to the absence.
Absent Reasons are needed when you exceed the allowable absent days for that child. The absent reason and doctor certificate allows for CCS to be paid past this point.
There is a set list of absent reasons, which can be used, each one will push a special code to the CCS Department.

Mark as Not Attending/Absent
The child can be marked as 'Not Attending' by;
Staff (on App)
- Go to Attendances in the Actions Menu
- Select the Room (optional)
- Slide the child's name across and select 'Not Attending'
Admin (on Portal)
- Go to Attendances > Daily Attendances (or click 'Sign Children In/Out' from the Dashboard)
- Select the date and click Get Report (if not today)
- Click 'Not Attending' next to the child's name
Parents (on App)
- Click the + icon in the app navigation menu
- Select Mark Child Not Attending
- Select the child and their room (if more than one is available)
- Select Date(s)
- Enter a comment/reason
- Sign your name
- Press the submit button in the top right corner of the screen
Select Absent Reason and Mark Certificate Provided
💡 This step can only be completed by an Admin user
💻 Attendances > Daily Attendances
💻 Child's Profile > Attendances (quick link)
- Use either of the above paths to locate the child's absence record (indicated by an entry with a red background)
- Click Edit
- Select the Absent Reason from the dropdown
- Tick the checkbox underneath if a medical certificate has been provided by the family (you don't need to attach anything)
- Click Update Attendance

Once the reason has been added successfully, it will be displayed in the attendance list under Staff Notes/Comments, and a medical icon will appear if the Medical Certificate checkbox is ticked.

Marking Absences After 4 Weeks
Submitting / Updating Sessions to CCS
If you have added the absent reason and/or ticket the medical certificate checkbox to an absence in the current week - before the end of the week - then the details will be submitted during your usual process.
If you are completing this process for a past week that has already been submitted, you will need to UPDATE the sessions to CCS (you do not need to withdraw the sessions first).
