Rostering Setup & Configuration Settings

Introduction

Before building a Roster, we need to have the basic set-up in place. Once this initial set-up is done, building out a weekly roster is quick & simple, with the ability to replicate from one week to another.

1. Roster Settings

💻 Staff > Roster

All of the specific settings pertaining to rostering can be found under the Settings tab, which you can access while on the Build Roster tab (default screen) in the Rostering module.

  • Parents Can see Roster - when this toggle is on (green), parents can also see the staff roster in their app so they know which educators may be in their child's room
  • Current Shift Times - shows default roster shift times. 
  • Add New Shift - this adds default shifts that can be selected from the dropdown when managing your roster
  • Current Lunch Times / Add New Lunch Times - works the same as shifts
  • Set Rostering Costs Max. - set a maximum ($) limit for your rosters
  • Xero Tracking ID - click here to view the guide
  • Set Room Fees (per session) for Roster Forecasting - Used to calculate roster costs based on the default rate per session
  • Send Nightly Rostering vs. Timesheet Email - Configure email address in Centre Info (workflow emails tab)
  • Don't include Superannuation in Roster Expense - this removes the 11.5% from roster costs when comparing to the roster budget. Costs will only be based on hourly rate x staff hours.

2. Rooms/Locations

💻 Configure > Rooms

  • Setting up rooms will enable you to roster staff in more specific locations. 
  • Rooms can be configured as staff-only/non-ratio rooms for staff not working directly with the children.

3. Updating Staff Profiles

💻 Staff > Manage Staff > Edit

In the App Details tab:

  • Select Qualification, RP Order (if any) and Medical Qualifications

💡Additional Access & Permission is required to access staff pay rates

Employment Details Tab:

  • Update Employment Type and Hourly Rate (Special Permission required to edit Hourly Rates)
  • Paid lunch override can be selected so that rostered break time doesn't get deducted from timesheets
