Create New Enrolment to CCS
How to Submit an Enrolment
- Go to the child's profile (profile search)
- Go to the CCS Tab (CCS Permission Required)
- Select the Session Type
- Enter the Effective From date (Can only be the current day or earlier)
- Enter Late Reason (if the Effective From date is greater than 7 days ago)
- Click Create new Enrolment to CCS
- Check the CCS Enrolment Status (should be Pending Confirmation)
💡 The primary carer needs to confirm the enrolment (through MyGov)

Required Details
Check that the following fields are correct before creating an enrolment:
Child Details
- Child Full Name
- Child DOB
- Child CRN
- Arrangement Type (CWA is the default)
- Booking pattern - room, session of care, fees, and days
Primary Carer
- Full Name
- CRN
- DOB
Form Fields
- Session Type - This controls what information is submitted with the enrolment. If the child may also attend casual days, you can select a combination or casual days only.
- Effective From - this should always be the current date unless you are backdating the enrolment. CCS will not allow you to submit future dates.
- Occurrence No - If you are trying to submit or update sessions for a previous version of an enrolment, the support team may ask you to change this field; otherwise, leave it as the default value.
- Late Reason - CCS requires a late reason if your effective from date is more than 7 days in the past.
- Is Child In State Care - Only change if applicable
- Reactivating a CEASED Enrolment - if the child already had a previous enrolment with you and has returned, change this to YES.
- If CEASING, enter end date - only enter if you are ceasing the enrolment and are sure that the child will not be returning. It is recommended to end the enrolment on a Saturday or Sunday.
- Send CWA Notification - this will send a push notification to the primary carer asking them to sign a CWA in the OWNA app.
Changing Incorrect Start Date
If you need to backdate or change the child's start date:
- Go to the CCS tab in the child's profile
- Change the Effective From date to the beginning of the first week of attendance
- Enter a Late Reason (e.g. Incorrect start date) if greater than 7 days
- Click Update Enrolment to CCS

Notifications
CCS Confirmation
When a CCS enrolment is submitted or updated, OWNA will automatically send an email to the primary carer advising them to action the request in their MyGov app.

CWA Notification
If you tick the box to send a notification to the primary carer, they will get a push notification in the app that will take them to the CWA page.
