Data Migration (Previous Software)
What information OWNA can migrate from your previous software provider
This guide will provide information on what our team requires to assist with migrating information from your previous software provider, as well as what information can and cannot be imported.
- All information that has been provided will be loaded, this includes any inactive children or families that are included in the reports. Make sure this information has been removed before sending your reports
- No documents or files can be bulk imported into the OWNA Platform. This includes any enrolment forms, programming documents, etc, that originated outside the OWNA Platform. These will need to be manually uploaded by the service if required.
Required Data Files

To bulk import information into the OWNA Portal, please provide any reports that contain
- Childs Information & Booking Pattern / Permanent Attendances*
- Parent/Carer/Guardian Information
- Their relationship (which child(ren) they should be linked to)
* Please refer to the Child Information section below for what Attendance information we require
Supported File Types
To import any information, reports must only come in the supported formats below. Any reports provided in an unsupported file format may cause delays in completing your data migration.

Data that can be migrated
Below are all the fields that can be bulk uploaded for a service
Child Information
- Name (First, Middle, Last)
- DOB
- Gender (M/F)
- CRN
- Nappies/Toileting (Y/N)
- Allergies
- Permanent Bookings/Attendance Information
- Up to Two sessions can be loaded (e.g. BSC & ASC)
- Only one pattern can be loaded (e.g. Monday, Tuesday, Friday)
- Alternating booking patterns will need to be set manually by the service once the information has been loaded
Booking & Attendance Information
Please only send the most recent or up-to-date period that you have for your Children and only 1-2 weeks worth of data. This will reduce the chances of incorrect patterns being uploaded.

Sending the reports to OWNA
Once you have downloaded the relevant reports, please upload them to an OWNA helpdesk ticket via your Portal.
