Waive Gap Fee

Covid 19 Gap Waiver was built as a simple tool to allow centers to be able to waive the gap for their families. This function is only available after the Session Subsidy Report is available, it is not mandatory and we suggest you make your decision based on your own centers situation.

How To Add A Gap Waiver

💡You can only apply gap credits to past weeks where CCS has already been received!

💻 CCSS > Session Subsidy

  1. Run the Session Subsidy report for the week you are waiving the gap fee for (it must be a previous week)
  2. Click the red Apply Gap Waiver button in the top right corner
  3. Select the Families (hold down Ctrl/Command to select multiple, or hold Shift to select a range)
  4. Select the Waiver Type
  5. Choose the percentage of the gap you want to waive
  6. Select the days you want to apply it for
  7. Click Add Gap Waiver
  8. Repeat this for multiple weeks

This process will create an individual credit for each child/day in the Family Transaction calculated at the percentage of the gap you have selected.

These can also be deleted from the Family Transactions using the red x Icon.

Working Around the 5% Withholding

We will use the below scenario to explain how to best factor in the withholding percentage into your discount so the family doesn't get overpaid:

  • Childs Fee is: $100
  • Childs CCS %: 85%
  • Government pays Centre $85 - 5% withholding = $80.75 (as indicated in Session Subsidy Report)

Example A

Subsidy Report will come at $80.75 - leaving an amount of 19.25 to be paid!

So when you waive 100% gap fee, you're waiving $19.25. Leaving the family with Nothing $0.00 to pay. (you are giving the parent an additional $4.25 which the government is holding onto to accomodate for ups and downs in the ccs over the year.)

Parents may be expecting this! To not have to pay anything.

Example B

Subsidy Report will come at $80.75 - leaving an amount of 19.25 to be paid!

So when you waive 95% gap fee, you're waiving $18.28. Leaving the family with $0.97 to pay. (you are giving the family 3.28 - which is a part of the amount that the government is holding onto to accommodate for ups and downs in the ccs over the year.)

Parents may be confused by this... and this above scenario explains why 95% is probably not the correct percentage if you are thinking about the withholding amount.

Example C

Subsidy Report will come at $80.75 - leaving an amount of 19.25 to be paid!

So when you waive 77% gap fee, you're waiving $14.82. Leaving the family with $4.43 to pay. (you are trying to break even with the family, so they pay for the portion which the government is holding onto- which the family will potentially get back at the end of the year.)

Parents may ask why they are paying etc.. but it is the center's choice!
