Posts Overview

Description

Posting is your primary way of communicating with families in OWNA and documenting Observations and child development. This guide contains all the different kinds of posts you can create in OWNA.

Post Types

Regular Posts:

  • Private Posts - only visible to parents of children tagged
  • Community Posts - shared with everyone at the service
  • Announcements - shared with everyone at the service
  • Polls
  • Staff Only (no children tagged)

Automatic Posts:

  • Birthday Posts (children and staff)
  • Staff Anniversary
  • Casual Booking Spots
  • Child Immunisation
  • Daily Menu
  • Curriculum Program

Staff Messageboard:

  • All Staff
  • Private

Visibility & Permissions

OWNA is a collaborative documentation tool, not a private messaging app. As such, all educators/staff within the centre can view any posts or comments written in OWNA (with the exception of the Staff Messageboard). When you write a 'Private Post' to parents, it means private from other parents/families who are not tagged in the post.

Post Visibility is dependant on the Post being locked when it is published;

🔓 Community Posts - posts are visible to all parents and staff at the centre (Irrelevant of children being tagged)

🔒 Private Posts - are only visible to parents of children tagged in the post

Post Configuration Settings

💻 Configure > Settings

These settings can be configured as the standard/default in any new posts you create in OWNA:

  • Only Admin can Publish (Post Approval)
  • Private Post Default
  • Draft Post Default
  • Commenting on Posts
  • Parent Post Default to Private
  • Hide Children Count on Timeline
  • Automatic Posts (menus, staff birthdays & anniversaries, casual booking vacancies)
  • Tagging Options (parents can tag children/staff)
  • Frameworks (select which frameworks can be tagged in posts)

Reporting

💻 Posts > Post Tags & Stats > Post Stats (Tab)

  • Centre's # Posts Statistics shows the last 12 months, with a total count of Observations, Follow Ups, and Learning Stories in each month
  • Post by Staff shows the Total Posts + Observations, Follow Ups, and Learning Stories per educator in a specified date range
  • Post by Children Tagged shows the days each child attends with a total count of posts they were tagged in for the last 60 days

💻 Posts > Post Tags & Stats > Tag Stats (Tab)

  • Filter by framework (including custom tags)
  • Select Reporting Period (last 30 days up to last 12 months)
  • Filter by Staff (or all staff)
  • View posts using specific tags (click on tag links at the bottom of the graph)

💻 Children > Manage Children

Click on the Tasks/Reports menu to access the following reports for an individual child:

  • Developmental Milestones Report - lists each milestone with a status of Working Towards (tagged once) or Achieved (tagged multiple times)
  • EYLF Learning Outcomes Report - number of posts for each outcome and the month posted in
  • NQS Achievement Report - number of posts for each element and the month posted in

💻 Posts > Child Portfolios

This report shows icons for each individual or group Observation, Follow Up, Learning Story, Portfolio, and Learning Document in a specified date range. Posts with a + icon indicates those that have been extended with a linked post.
