Restrict Staff Access To OWNA
Overview
💡Admin and Parent users will still have unrestricted access at all times!
Admin users can configure portal and app availability for staff, preventing them from accessing child and parent information outside the permitted times.
There are two methods to configure staff restrictions:
- Time-based Restrictions
- Profile Configuration
Configure Time-based Restrictions
💻 Configure > Service Info > App Details (tab)
- Set the start and end time for each day that you want to ALLOW access
- For days where no access should be given, set both times to '00:00'
- If you don't want to restrict access, leave the times empty (click the red x to clear times)
- Click Update Accessible Days/Times

Profile Configuration
This will override the time-based restrictions and apply restricted access at all times. This configuration can be used for staff on leave, who should not have access during the configured access periods.
💻 Staff > Manage Staff > Staff Profile (click name)
- Go to the Access & Permissions tab
- Tick 'Restricted Access'
- Click Update Staff Details
FAQ
Q: Will staff still be able to view their roster and staff messageboard?
A: Yes, staff can still view their own shifts from the lockout screen
Q: What if someone is logged in as a staff and parent on the app?
A: Staff will have the option to switch to their parent profile, which will still allow them to access the app.
Q: Can I set multiple available times for the same day?
A: No, you can only have one set of times per day.
Q: What will staff see in the Portal while access is restricted?
A: Staff will still have access to their roster, staff message board & calendar, policies & procedures, events, leave requests, collaboration boards, QIP, and programs. They will not be able to access posts or other areas with potentially sensitive child and parent details.
Q: What will staff see in the App while access is restricted?
A: Staff will see a message that their access is restricted, with a counter showing them when access will be restored (if time-based restrictions apply). They will still be able to view their roster and the staff message board from this screen.
