Manage Child's Documents
Who Can View & Add Documents

Centre Admins - Via the web portal 💻
- Go to Child's Documents in the child's profile
- Enter the Title, Document Type, Notes/Comments
- Make Private (optional) using the checkbox
- Expiry Date (if any)
- Chose a PDF or Image
- Click Add Document
💡 Documents marked Private will not be available in the app!
- Staff or Parents cannot view Private Documents in the app
- Parents cannot view child documents at all via the web portal
Centre Staff - Via the App 📱
- Go to the Centre/Ratio menu (menu icon - top left)
- Select a child
- Open the child menu (circle with three dots - top right corner)
- Click the + icon (top right)
- Enter the Title, Expiry Date (if any), Comments, and attach an image
- Click the add button (top right)
Parents - Via the App 📱
- Go to the Centre/Family menu (menu icon - top left)
- Select the child
- Open the child menu (circle with three dots - top right corner)
- Click the + icon (top right)
- Enter the Title, Expiry Date (if any), Comments, and attach an image
- Click the add button (top right)
Actions

Admin users can Filter, Sort, Edit, and Archive documents from the admin portal.
Documents can also be deleted from the system entirely (edit the document first, then press the red Delete button).

💻 Children > Children Documents/Notes
- Using the filters, you can find documents expiring or expired, then sort by expiry and toggle between new/old and old/new.

Notification Email
OWNA sends an automated weekly email (every Wednesday) to the primary service email with a list of expiring records for children and staff.
