Adding Centre Tour Bookings

Overview

Centre Tours can be entered into your Staff Calendar so that everyone can see when a tour is scheduled.

If you have purchased an Enquiry Form, the tours will be available for new enquiries to book as part of their submission.

Adding a Centre Tour

💻 Staff > Calendar

💻 Dashboard > Weekly Summary tab

  1. Click Add New Item To Calendar/Diary using the ➕ in the top right corner
  2. Enter a Title (e.g. Friday Tour 1)
  3. Select Centre Tour as the Type
  4. Leave the Booked checkbox unticked (unless you are manually adding a pre-booked tour)
  5. Enter the Start Date, Start Time, End Date and End Time
  6. Enter a description (optional)
  7. Repeat Checkbox - Select recurring frequency and end date (optional)

Booking a Tour

From the Enquiry Form (Customer)

When submitting an enquiry form, a dropdown box will be available with all future tour booking times available (not already booked)

  • Each tour entry can only be booked once
  • Tour Details and Title are not visible to the customer

From the Calendar (Admin)

If you would like to manually reserve a tour for someone you have spoken to who has already submitted an enquiry:

  1. Open your Staff Calendar
  2. Select the tour time/date they would like to book
  3. Tick the Booked checkbox
  4. Click Update Entry
  • You could also include their name in the Title and/or Description along with their contact details

From Enquiries/Waitlist (Admin)

💻 CRM > Enquiries or Waitlist

  1. Click Enquiry/Waitlist Action
  2. Select Edit
  3. Enter the tour date, start and finish time
  4. Click Book Centre Tour

Deleting Centre Tours

If you want to remove a booking or available tour from the calendar, you can edit the tour and click Delete Event (next to the Update button) or if you want to also remove all further events for this particular time, you can click Delete Event & Recurring in the top right corner.
