Previously Staff Training Register

Overview

The Staff Training Register/Matrix allows you to track which Staff Members have attended which courses and training programs they have completed and much more. The data you input here also feeds through to the Staff Schedule along with Data from the Staff Accounts like DOB, etc.

The matrix will highlight which documents have expired and which documents are about to expire, ensuring you stay on top of things as a Manager/Director.

Adding Training, Courses and Program Tags

💻 Staff > Qualifications & Certificates

  1. Enter the Training, Course or Program name
  2. Select Importance (optional)
  3. Click Add

💡 Click on a tag to edit/update or delete

Adding Records to Staff Documents

  1. Click the âž• on the Qualifications & Certificates screen (top right corner)
  2. Select a Staff Member
  3. Enter a Title related to the document you are uploading
  4. Select Training/Courses/Programs as the Type
  5. Select the tag in the Training/Courses/Programs field
  6. Select a Completion Date (if not today)
  7. Enter a display note (optional)
  8. Select an Expiry Date (if any) and any additional Notes/Comments (if any)
  9. Attach a copy of the training certificate as an image or PDF (optional)
  10. Click Add Document/Training

View Staff Training Matrix

  1. Click Get Training Report
  2. This will give you a matrix of all training tags and employees to show Valid, Expiring Soon and Expired qualifications
  1. Select filters (Staff, Training tag, Importance, Status) to narrow the scope of your results
  2. Click Get Training Report to refresh data

Expiring Documents Emails

OWNA sends an automated weekly email containing expired documents and documents expiring soon.
