Add & Manage Staff
Overview
Creating a Staff can only be done via the Administration Portal by Admin Staff. There are various levels of access to be granted. If you have someone that is a Staff and a Parent, they will need a profile created for each user type with a unique Username (their email address field can be the same for both profiles).
Add Staff
💻Staff > Manage Staff
- Click on the + button in the top right corner
- Enter required fields
- First name
- Surname
- Username
- Email address
- CategoryAccess Type
- PIN (6-digit code) - generated automatically
- Password
- Click Add Staff
Manage Staff
Filter - Change this to view Current or Previous staff profiles
Sort by - Select a heading from the table to sort by (or click directly on the heading)
Filter for - Start typing the name of any staff to filter the list
Print - renders the details on the page
Export Staff Details - downloads a spreadsheet of staff contact & emergency contact details

Edit Staff Profiles
- Click on a staff name or the blue button to view and edit their profile
- Use tabs to change between different fields
- Click Update to save any changes made

Locked Fields 🔒
When your service is linked to erly, some details in the staff profiles become locked since updating those fields in erly will override the fields in OWNA. To make changes to these fields, please ensure you have the correct permissions in erly, and then you can click the erly logo at the bottom of the menu to access the erly portal.

Send App Invite
- Click on a staff name or the blue button to view and edit their profile
- Click Send Invite for App/Portal (top right corner)
Deactivate Staff Profile
- Click on a staff name or the blue button to view and edit their profile
- Click Deactivate Staff Member (top right corner)
