Offline/Emergency Backup Plan

Introduction

There is always a possibility that unforeseen events may occur that prevent you from accessing your online/digital solution. This could be anything from severe weather to widespread internet outages. As such, we suggest that all services have a procedure in place where they spend five to ten minutes at the end of every week preparing reports that can be accessed locally in the event of an emergency situation.


Here are some essential reports that you may like to download on a weekly basis so that you can then print them if the need arises:

Child/Parent Emergency Contacts

💻 Children > Manage Children

  1. Change the Filter to Parents/Emergency Contacts (Current)
  2. Click Get Report
  3. Select the Print icon in the top right corner
  4. In the printer options, select Save as PDF (if you don't want to print it right away)
    • a) Click Save
    • b) Select file location
    • c) Click Save again

Daily Attendance Rolls

💻 Attendances > Daily Attendances

  1. Select the desired date and click Get Report
  2. Click on the Action button and select 'Print Daily Attendances with Emergency Contact'
    • Options: You can filter by Room or Child Tags
    • You can choose to remove the parent contacts from this report if you don't want this information to be included (change 'Show all Contacts' to 'Hide all Contacts')
    • Click Get Report to update the list
  3. Select the print icon in the top right corner to Save as PDF or send it to your printer
  4. Repeat for each day of the week you want to cover
