Learning Documents - Template Builder
Overview
Learning Documents are a type of post that uses the form builder to set pre-defined questions and fields to be completed by educators. OWNA provides default templates that an admin or educational leader can modify to suit your individual centre's needs.
Create a New Template
💻 Posts > Learning Documents
- Click the ➕ button in the top right corner
- Enter a Title for your template (e.g. Detailed Observation)
- Write a description (for internal use only)
- Set the Status (will only be available to use when changed to Active)
- Select from one of the five pre-built 'starter' templates
- Make changes as needed
- Click Save

Starter Templates
Templates are available at the top of your toolbox controls. Once clicked on, the fields will automatically populate into the Build Form Sandbox on the left of the screen. You are then able to adjust any fields to suit your centre's needs.
Available Fields
In your Toolbox menu, you will find a list of standard fields under the Starter Templates, which you can add to your Learning Document. You can change the toolbox control settings to include OWNA Controls using the Settings button in the top right corner

Field Mapping
Field Mapping is a code that links the question/response to a specific function within OWNA. You can only have one field in each template mapped to the same code. It is recommended that you do not change the field mapping, except to remove duplicate fields using the same code.
Field Visibility
Not all fields are supported in the post (but can still be included in the printable version). Eligible fields also need to have the 'Show in Post' option ticked in the field settings.
Field Options
- Required - Educators can't publish without answering
- Label - this is how the field/question appears to educators and parents
- Help Text - tips that appear as a ❔ icon for educators to help them answer the question
- Placeholder - example text that disappears when educators fill out the field
- Name - this is the unique field ID used by OWNA. Do not modify this field unless specifically instructed by customer support!
- Input settings - e.g. max length, rows, or input options
- Field Mapping - OWNA system codes
- Show In Print - makes the field (and answer) visible in the print view of the submission
- Report Label - (hidden) allows you to customise the field name that appears in the post content (if blank, it will use Label).
- Show In Post - makes the field (and answer) visible in the post view of the submission

Upload Fields
While you can add multiple file upload fields, only one of them can use the 'media' field map. This means only files or images uploaded to the mapped field are displayed in the post and visible to families.
Additional file uploads will need to have the field map removed, and attachments will only be displayed when viewing or printing the submitted Learning Document from the Learning Documents management page.
Toolbox Menu
Underneath the field options on the right, you will find a small menu with buttons to Save, Preview, Access Settings, Marketplace, and Eraser.
- Save - Saves the form you are working on
- Preview - Take a look at the form you are working on so far to ensure it has everything you need
- Settings - Same as the Settings button at the top of the page
- Marketplace - Publish the form you have created to the marketplace to allow any other OWNA users to be able to use your form
- Eraser - Clear ALL the fields in the form

Settings
You can access hidden fields and toolbox controls in the Template Editor Settings.
Advanced Options:
- Report Label - (show) allows you to customise the field name that appears in the post and report to be different from the Label
- Event Trigger and Listener - (show) allows you to have some fields interact with each other (e.g. when a room is selected, filter the children listed)
Toggle Toolbox Controls:
- Form Templates - a list of pre-built forms with multiple questions
- Form Template Selections - a smaller group of pre-built sections (not entire forms) that can be added to an existing form
- Standard Controls - generic field types
- OWNA Controls - OWNA-specific field types
Viewing Submissions
Click on the Learning Document name to see all form submissions. You can also view submissions in the Posts feed.

Editing Templates (Versions)
It's important to remember that removing or changing fields can affect existing posts using this template. To try and prevent unwanted changes, each form submission has a template version that it refers to. You can also update the version being used by older posts if you need them to reflect new questions.
