Sending App Invite

Overview

Parents and carers/guardians can use the app and web portal to see information about their children, communications from the centre, account statements/invoices, and more. This guide includes all of the different methods to send an individual or bulk invite.

Sending Individual Invites

From the Parent's Profile

  1. Find a parent's profile using the profile search or from the list of Carers/Guardians (Children > Manage Carers/Guardians)
  2. Click on their name to view their profile
  3. Click Send Invite to App Ā» (in the top right corner of the screen)

From the Enrolment Form

  1. Edit an enrolment form (CRM > Enrolment Forms)
  2. Complete required fields
  3. At the end of the form, select the drop-down toĀ 'Create Child, Parent & Family Account and Send App Invite'
  4. Click Submit

Sending a Bulk Invite

šŸ’» ReportsĀ > User Access Log > Parents/Carers (Tab)

The third column will list any primary parents/carers who have an email address and who haven't logged into the app in the last 30 days.

  1. Enter a custom message to send in the email ("Hi [Name]" will be added automatically, along with download links and their username)
  2. Click Send Invite to Families

Requesting Access

Parents can request access to the app by clicking Request Access on the app log-in screen and then entering their email address.

Troubleshooting Parent Access Issues

Issue: Not Receiving App Invite Email

  • Check that the email address in their profile is correct
  • Get them to check their junk mail or spam filter

Issue: Incorrect Password

  • Make sure they aren't using their PIN instead of their password
  • An Admin user can reset their password from their profile
    • Click on Families

    • Click on the View all Carers/Guardians
    • Click on the Parent name who need a password reset
    • Scroll to the Password area and enter in a temporary password. (Ensure it meets the criteria)
    • Click on Reset Password

Issue: Incorrect or Unrecognised Username

  • Check that they are using their assigned username to log in - this isn't always their email address

Issue: Logging Into Old Service

  • Assign them a different username - this doesn't have to be their email address, it just needs to be unique
  • Resend the app invite after updating

Issue: Parent Can't See Their Children

  • Check that they are correctly linked to the child and have permission in the child's Relationship/Permissions tab
  • Check for duplicate parent accounts using the profile search

Issue: Parent Can't View Statements or Invoices

  • Make sure the parent is tagged in the Family Account setup
  • Check for duplicate parent accounts using the profile search
