App Security
Overview
This guide covers the various methods, permissions, and configurations for accessing the OWNA app.
Access Methods
Username & Password
Who: All users
When: Initial access to the app
Staff PIN
App Configuration: Staff PIN Mode
Who: Admin and Staff users
When:
- Signing in from the PIN Mode screen
- Reopening the app
- After 90 seconds as a background app/device locked
App Configuration: Public Mode
Who: Admin and Staff users
When:
- Reopening the app
- Checking in/out of the service
- Taking the device out of Public Mode
Staff PIN or Device PIN/Biometrics
App Configuration:
- Security Requirement Set
- 'Must use PIN/biometrics to open app' (💻 Configure > Settings > Staff)
Who: Admin and Staff users
When:
- Reopening the app
- Swapping between profiles (when swapping to a Staff or Admin user)
- After 90 seconds as a background app/device locked
Parent PIN
Parent PIN or Device PIN/Biometrics
Who: Parents
When:- Reopening the app
- Swapping between profiles
- After 90 seconds as a background app/device locked

Set Security Requirement
💡 This can be enforced as a requirement in Configure > Settings > Staff
This is an optional setting that can be configured to help secure information stored in the OWNA app. It will prompt you to enter your PIN or confirm biometrics every time you open the app.
To configure:
- Sign in to the app
- Go to Settings
- Select a Security Requirement
- None (security requirement off)
- Device Check (uses your device PIN or biometrics)
- PinCode Check (uses your staff/parent PIN)
- If you have selected PinCode Check, you will be prompted to confirm your PIN to activate
Access Restrictions
When the app/portal is restricted, staff can still access the staff message board and their roster. Admins are exempt from all access restrictions.
Time-based Access
- The centre can configure set times each day when staff can access the app & portal
Restricted Access
- This will override the time-based restrictions (if any) and will restrict access to certain staff at all times
Prevent screenshots in the App
This setting will prevent all users (Admin, Staff, Parents) from taking screenshots of the app.
- Configured from 💻 Configure > Settings > General
- Tick Prevent screenshots in the app
- Click Update Configuration
