OWNA uses the ACECQA Educator to Child Ratio guidelines to determine the minimum ratio requirements for your state and service type.

  • Ratios are applied across the service, then the same calculation is provided at a 'Room' level to help ensure adequate supervision.

Live Ratios

The current ratios can be viewed from the App (Child/Ratio menu), Admin Portal (Dashboard), and OWNA HQ (Dashboard & Current Ratio).


This looks at the number and age of children currently signed in and compares them to the number of staff signed into the centre (who have not been excluded from ratios or working in a non-contact location).

Predicted Ratios

In the roster, the number of booked children (and historical attendance) is used to predict the minimum number of educators needed to cover the anticipated number of children.

50% Diploma Requirements

Under regulation 126 of the Education and Care Services National Regulations, 50% of educators required to meet the relevant educator-to-child ratios in centre-based services with children preschool age and under must have, or be actively working towards, an approved diploma-level education and care qualification (or higher).

Configuring Staff Qualifications

The 50% Diploma calculation uses the 'Highest Qualification' field in the staff's profile and counts all staff with a Diploma or higher listed as their qualification.

  • If the staff currently holds a Certificate III and is studying for a Diploma, you can list the Diploma as their 'Highest Qualification' and also that they are 'Currently Studying' for their Diploma if they meet the requirements for actively working towards a qualification.
