How to take a Screenshot

On a Windows Computer (PC)

Printscreen Key

  1. Press the Print Screen key on your keyboard (often marked 'PrtSc') and 
  2. Paste the image into the body of your email or online chat (Ctrl' + 'V') - Please do not send it in a Word document
  • Some keyboards may also require you to press the function key 'Fn' at the same time if it a dual function key.

Snipping Tool

Windows comes with a feature called the Snipping Tool. You can find this using Windows Search.

  1. Open the snipping tool
  2. Click + New
  3. Click and drag over the area of the screen (try to include as much of the window as possible)
  4. Use the inbuild tools to mark up or highlight part of the image
  5. Save or copy the screenshot and include it in your email/chat - Please do not send it in a Word document

On a Mac

Entire Screen

  1. To take a screenshot, press and hold these three keys together: Shift, Command and 3.
  2. If you see a thumbnail in the corner of your screen, click it to edit the screenshot. Or wait for the screenshot to be saved to your desktop.

Portion of the Screen

  1. Press and hold these three keys together: Shift, Command and 4.
  2. Drag the crosshair to select the area of the screen to capture. To move the selection, press and hold Space bar while dragging. To cancel taking the screenshot, press the Esc (Escape) key.
  3. To take the screenshot, release your mouse or trackpad button.

  4. If you see a thumbnail in the corner of your screen, click it to edit the screenshot. Or wait for the screenshot to be saved to your desktop.

On an iPhone/iPad

Depending on the age and type of device, you can use one of the following combinations to take a screenshot:

  • Volume Up and Lock Button
  • Home Button and Lock Button (side or top of the device)


After you take the screenshot, press on the thumbnail in the bottom left corner and select from the sharing options or save it to your gallery.
